Proposals & Agreements
A clear written agreement protects both you and us. This section explains how our working relationship is formally established.
How a Contract is Formed
A legally binding contract between House of Ahana and the Client is formed when the Client accepts our written Proposal — either by signing and returning it, by making payment of the agreed deposit, or by confirming acceptance in writing via email. The contract incorporates all of the Terms and Conditions set out on this page.
Validity of Proposals
All Proposals issued by House of Ahana are valid for 30 days from the date of issue, unless otherwise stated. After this period, fees and availability may be subject to change. We reserve the right to withdraw a Proposal at any time prior to the Client's formal acceptance.
Scope of Work
The Proposal will clearly set out the agreed scope of work, deliverables, fees, and estimated timeline. Any work requested by the Client that falls outside the agreed scope will be treated as additional work and will require a separate written Proposal and acceptance before we proceed.
Fees & Payment
Clear and transparent fee arrangements ensure a smooth working relationship. Please review this section carefully before engaging our services.
Deposit Requirement
A non-refundable deposit of 50% of the total agreed design fee is required before any design work commences. Work will begin upon receipt of the cleared deposit payment. The remaining 50% balance is due upon completion and delivery of the agreed Proposal deliverables, unless a different payment schedule has been agreed in writing.
Please note: The deposit is non-refundable in all circumstances, as it covers the initial time, research, and creative resources invested in your project from the outset.
Online Consultation Fees
Online and in-person consultation fees are payable in full prior to the scheduled appointment. Once your appointment is confirmed, the consultation fee is non-refundable. You may reschedule your appointment with a minimum of 48 hours' notice. Failure to provide 48 hours' notice or non-attendance will result in the full fee being forfeited.
Bespoke Artwork Payment
Commissioned artwork requires a 50% deposit upon agreement of the commission brief. The remaining balance is due upon completion and prior to delivery or collection of the artwork. No artwork will be released until full payment has been received.
FF&E Procurement Payments
Where House of Ahana sources furniture, fixtures, or equipment on the Client's behalf, the Client will be required to pay for all goods in full prior to ordering. House of Ahana will issue a separate invoice for all procurement items. We do not hold goods on credit on behalf of clients.
Additional Work
Any additional services or work requested beyond the original agreed Proposal will be quoted separately and confirmed in a revised or supplementary written Proposal. We will not proceed with additional work until the Client has accepted the revised Proposal in writing.
Late Payment
All invoices are due within 14 days of the date of issue. House of Ahana reserves the right to charge statutory interest on overdue invoices in accordance with the Late Payment of Commercial Debts (Interest) Act 1998, at a rate of 8% per annum above the Bank of England base rate. We also reserve the right to suspend work until outstanding invoices are settled in full.
Accepted Payment Methods
Payment may be made by bank transfer (BACS), or other methods confirmed at the time of invoicing. All fees are quoted and invoiced in British Pounds (GBP). International clients are responsible for any applicable bank transfer charges or currency conversion fees.
Cancellation & Termination
This section sets out the terms that apply should either party need to bring the working relationship to an end before the agreed project is complete.
Cancellation by the Client
If the Client wishes to cancel the project after acceptance of the Proposal and payment of the deposit, the following applies:
- The deposit paid is non-refundable in all circumstances.
- If significant design work has been completed at the point of cancellation, House of Ahana reserves the right to invoice for additional time and resources invested, proportionate to the work completed.
- Any goods already ordered on the Client's behalf must be paid for in full and cannot be cancelled, as these will typically have been custom-ordered or confirmed with suppliers.
Cancellation by House of Ahana
House of Ahana reserves the right to terminate the agreement in the following circumstances:
- The Client fails to make payment within the agreed timeframe.
- The Client fails to provide necessary information, approvals, or access to the property within a reasonable timeframe, preventing us from delivering our services.
- The Client's conduct is unreasonable, abusive, or makes continuation of the working relationship untenable.
In such circumstances, House of Ahana will issue a final invoice for all work completed to date. Any deposit or prepayment held will be applied against outstanding fees, with any remainder returned to the Client.
Project Pauses
If a project is paused by the Client for a period exceeding 60 days, House of Ahana reserves the right to treat the project as cancelled and apply the cancellation terms set out above. Restarting a paused project may be subject to a revised Proposal and updated fees.
Client Responsibilities
A successful design project is a collaborative process. Your engagement, timely feedback, and honest communication are essential to delivering the best possible outcome.
Providing Accurate Information
The Client is responsible for providing accurate, complete, and timely information, including property dimensions, existing fixtures, budget parameters, lifestyle requirements, and any relevant planning or building constraints. House of Ahana cannot be held responsible for errors, delays, or additional costs arising from inaccurate or incomplete information provided by the Client.
Property Access
Where in-person services are required, the Client must provide safe and reasonable access to the property at agreed times. If access is delayed or denied, House of Ahana reserves the right to charge for any time lost as a result.
Timely Approvals & Feedback
The Client agrees to review design proposals, mood boards, and specifications in a timely manner and to provide clear, constructive feedback within the timeframe agreed at the outset of the project. Delayed feedback may impact the project timeline, for which House of Ahana will not be held responsible.
Final Design Decisions
All final decisions regarding design choices, material selections, furniture purchases, and project approvals rest entirely with the Client. House of Ahana provides professional recommendations based on expertise and experience, but we cannot be held responsible for the outcome of decisions made by the Client, including decisions that differ from our recommendations.
Health & Safety
The Client is responsible for ensuring that the property is safe for our team and any contractors to access and work in. House of Ahana and its representatives will not attend a property that presents an unreasonable risk to health and safety.
Intellectual Property
Creative work takes considerable time, skill, and investment to produce. This section explains how intellectual property rights apply to the work we create for you.
Ownership of Design Work
All design concepts, mood boards, space plans, drawings, material specifications, visual presentations, and any other creative Deliverables produced by House of Ahana remain the intellectual property of House of Ahana until full and final payment has been received. Upon receipt of full payment, the Client is granted a non-exclusive, non-transferable license to use the Deliverables solely for the purpose of implementing the agreed Project at the specified property.
Restrictions on Use
The Client may not reproduce, share, sell, adapt, or use our design work for any purpose other than the agreed Project without prior written consent from House of Ahana. Our Deliverables are issued in standard, non-editable formats. If the Client requires editable files (such as CAD drawings), this must be requested and agreed in advance and may be subject to an additional fee.
Bespoke Artwork & Copyright
Original paintings, commissioned artworks, and illustrations created by Ahana Majumdar are protected by copyright under the Copyright, Designs and Patents Act 1988. The Client purchases the physical artwork only. The copyright and all reproduction rights remain with the artist unless expressly assigned in writing. The Client may not reproduce, print, or commercially exploit commissioned artworks without written permission from House of Ahana.
Portfolio & Promotional Use
House of Ahana reserves the right to photograph, film, and feature completed projects — including images of the Client's property — in our portfolio, on our website, and across our social media and marketing channels. If the Client does not wish their project to be featured publicly, they must advise us in writing before the project commences. Where agreed, all images will be handled with sensitivity and the Client's privacy will be respected.
Third-Party Materials
The Client warrants that any materials, documents, images, or references provided to House of Ahana do not infringe the intellectual property rights of any third party. The Client agrees to indemnify House of Ahana against any claims arising from third-party intellectual property infringement caused by materials supplied by the Client.
FF&E Procurement & Third Parties
Where House of Ahana sources furniture, fixtures, and equipment on your behalf, or recommends third-party contractors, the following terms apply.
Procurement on Client's Behalf
Where House of Ahana sources and orders FF&E on the Client's behalf, we act as the Client's agent. All goods are ordered in the Client's name and for the Client's benefit. The Client must pay for all goods in full prior to ordering. House of Ahana is not responsible for manufacturer defects, shipping delays, price changes, or items being discontinued after the order has been placed.
Goods Inspection on Delivery
All goods must be inspected by the Client upon delivery. Any damage, defects, or discrepancies must be reported to House of Ahana immediately and no later than 48 hours after delivery. We will use reasonable efforts to assist with any valid warranty or manufacturer claims, but the manufacturer or supplier remains ultimately responsible for resolving product issues.
Third-Party Contractors & Suppliers
House of Ahana may recommend contractors, tradespeople, architects, or suppliers as part of the design process. All such recommendations are made in good faith and based on our professional experience. However, any contract between the Client and a third-party contractor is entirely separate from our agreement. House of Ahana is not a party to those arrangements and is not liable for the quality, conduct, costs, or actions of any third party.
Procurement Margins
House of Ahana may access trade pricing on certain goods and materials. Where goods are procured on the Client's behalf, the Client acknowledges that a procurement margin or handling fee may apply. Any such margin or fee will be disclosed in the relevant Proposal or invoice.
Liability
This section sets out the extent of our responsibility to you and the circumstances under which our liability may be limited.
Our Standard of Service
House of Ahana will provide all services with reasonable skill and care, in accordance with the standards commonly expected of a professional interior design studio. We aim to deliver design solutions that reflect the agreed brief and meet your expectations, whilst acknowledging that interior design is an inherently subjective and creative discipline.
Limitation of Liability
Subject to the provisions below, the total liability of House of Ahana to the Client — whether in contract, tort (including negligence), breach of statutory duty, or otherwise — shall not exceed the total fees paid by the Client to House of Ahana for the relevant project or service. We are not liable for indirect, consequential, incidental, or unforeseeable losses, including loss of profit, loss of business, or damage to reputation.
What We Cannot Limit
Nothing in these Terms excludes or limits our liability for:
- Death or personal injury caused by our negligence or that of our employees or contractors.
- Fraud or fraudulent misrepresentation.
- Any liability that cannot be lawfully excluded or limited under applicable UK law, including the Consumer Rights Act 2015.
Events Outside Our Control
House of Ahana will not be liable for any delay or failure to perform our obligations where such delay or failure arises from circumstances beyond our reasonable control, including but not limited to: supply chain disruptions, manufacturer delays, extreme weather, acts of government, or other force majeure events. We will notify the Client promptly if such circumstances arise and will make reasonable efforts to minimize the impact on the project timeline.
Refund Policy
Due to the bespoke and personalized nature of our services, our refund policy reflects the creative investment made in every project from the outset.
Interior Design Services
Refunds are not available once design work has commenced. The deposit paid at the outset is non-refundable in all circumstances. If the Client is dissatisfied with our design work, we ask that they raise their concerns as soon as reasonably possible. We will make reasonable efforts to address and resolve any issues raised. Dissatisfaction with design recommendations or aesthetic preferences alone does not form a basis for a refund, as all final decisions rest with the Client.
Online Consultations
Online and in-person consultation fees are non-refundable once the appointment has been confirmed. Rescheduling is available with a minimum of 48 hours' notice. We reserve the right to cancel a consultation if the Client fails to attend without prior notice, and no refund will be issued in such circumstances.
Bespoke Artwork Commissions
Commissioned artworks are entirely bespoke and created to order. Once the commission brief has been agreed and work has commenced, the deposit is non-refundable. The final balance is due upon completion. If the Client has specific concerns about the artwork during the creation process, they should raise these promptly so adjustments can be made in line with the agreed brief.
Consumer Rights
Nothing in this refund policy affects your statutory rights as a consumer under the Consumer Rights Act 2015 or other applicable UK consumer protection legislation. If our services are not provided with reasonable skill and care, you may be entitled to a remedy under applicable law.
Confidentiality
We treat all information shared with us during the design process with the utmost discretion and professionalism.
Client Information
All personal information, lifestyle details, budget information, and property-specific data shared by the Client with House of Ahana will be treated as strictly confidential. We will not share, disclose, or use this information for any purpose other than delivering the agreed services, without the Client's prior written consent.
Third-Party Disclosure
Where it is necessary to share limited project information with third-party suppliers, contractors, or tradespeople in order to deliver our services, we will do so only to the extent necessary and will ensure such parties are bound by appropriate confidentiality obligations.
Personal Data
The collection and processing of your personal data is governed by our Privacy Policy, which forms part of your agreement with us. Please read our Privacy Policy carefully to understand how we collect, use, and protect your personal information.

Dispute Resolution
In the event of any dispute, we encourage both parties to first attempt to resolve the matter amicably through direct communication.
